With the opening of our newly renovated office on Bank Street on the horizon, we are looking for a flexible and extremely customer focused person to join our friendly team and be the first point of contact for visitors to Kilmarnock.
The ideal candidate will be a warm and friendly person who enjoys welcoming and talking with people, both on the phone and when visiting our offices. The position would suit an individual who is well presented, professional, computer literate and has the ability to provide excellent customer service within a client focused business.
While this role is advertised as full-time, we are open to enquiries from those who would be interested on a part-time basis.
General
Greeting all visitors to the Kilmarnock office with warm and approachable manner
Chaperoning clients/visitors, showing them to and from meetings, making refreshments for clients/visitors
Setting up the board room for all meetings
Monitor visitor access and maintain security awareness
Answering telephone calls into the office and ensuring calls are passed over to the relevant persons in the team promptly
Tidy and maintain the reception and meeting rooms (boardroom and small meeting rooms)
Dealing with all outgoing mail on a daily basis, franking the mail, completing details in the mail book and taking the mail to the Post Office
Handling and dealing with all clients books/records that come on site and ensuring they are passed onto the relevant manager to deal with
Receive, send and sort mail and deliveries
Any other duties reasonably required by the company
Qualities
Experience working in a professional office environment is desirable, though not essential
Experience of electronic diary management
Excellent interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external to the Practice
Excellent written and oral communication skills
Good basic IT Skills, specifically Microsoft Office applications: Outlook, Word, Excel
Ability to deal with sensitive information with discretion and to maintain confidentiality
Ability to deal with a busy reception and be calm under pressure

Role is based in our Kilmarnock office. Please note home-working is not applicable for this role.
35 hours per week Monday to Friday.
