With the expansion of our Glasgow office, we are looking for a flexible and extremely organised person to join our friendly team and undertake a varied administration role.

The ideal candidate will be a warm and friendly person who enjoys welcoming and talking with people, both on the phone and when visiting our offices. The position would suit an individual who is well presented, professional, computer literate and has the ability to provide excellent customer service within a client focused business.

 

General

Dealing with all outgoing mail, franking the mail, completing details in the mail book and taking the mail to the Post Office.

Handling and dealing with all client’s books/records that come on site and ensuring they are passed onto the relevant manager to deal with.

Receive, send and sort mail and deliveries.

Supporting Managers and Partners on a wide variety of insolvency related tasks.

Greeting all visitors to the Glasgow office with warm and approachable manner.

Chaperoning clients/visitors, showing them to and from meetings, making refreshments for clients/visitors.

Monitor visitor access and maintain security awareness.

Answering telephone calls into the office and ensuring calls are passed over to the relevant persons in the team promptly.

Tidy and maintain the reception and meeting rooms (boardroom and small meeting rooms).

Management of Partners diaries.

Booking hospitality events.

Any other duties reasonably required by the company.

 

Qualities

Experience working in a professional office environment is essential.

Experience of electronic diary management.

Excellent interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external to the Practice.

Excellent written and oral communication skills.

Good IT Skills, specifically Microsoft Office applications: Outlook, Word, Excel.

Ability to deal with sensitive information with discretion and to maintain confidentiality.

Ability to deal with a busy working environment and be calm under pressure.

Insolvency experience is desirable, but not essential.

 

Other

Role is based in our Glasgow office. Please note home-working is not applicable for this role.

25 hours per week Monday to Friday (flexibility within the hours per day).
